How to use these templates:

Below is an email template to send to guests so they can prepare for their interview and an email template you can use post-interview.

If you are using Zoom, I recommend using Calendly + Zoom to schedule interviews. You can provide a calendar to your guests where they can pick their own time, and it will automatically send them a calendar link along with their zoom information. You’ll see below that I also encourage you to provide the zoom info in the pre-interview email to cover your bases.

If you are using another tool for the interview process, I still recommend sending a calendar invitation, so your guest doesn’t forget and gets reminders. In addition, you’ll still want to send your pre-interview email with how they can prepare and a reminder for how to join the interview.

Pre-Interview Email

Hey!

I’m so excited about our interview! You should have received a calendar invitation with our zoom link. I have it below just in case.

If you’d send over your bio, link to your website, social, and a photo that will help my team get our promotional materials together. 

What to expect:

  • Interview Roadmap: We will go down the path that led to the heart behind [insert relative topic]. Together, we’ll explore the experiences that made you want to [insert relevant topic]. Every story takes us along that path! 
  • Your prep: Look inward for relevant experiences and stories you can share. It’s as easy as being honest (and a little vulnerable). Consider key personal stories and life events that led to [insert relevant topic]

What to send over:

  • A high res photo we can use to promote your episode.
  • Your short bio. 
  • Social media handles.
  • Anything else you’d like us to know.

Rapid fire questions:

  • Add any questions they might want to prepare for.

Technical tips:

Good audio is part of good content and we want to honor your voice!

  1. Use headphones. Please make sure it’s not brushing up against your shirt. We can take a moment at the beginning of our conversation to make sure the audio is solid.
  2. Log into our Zoom meeting on desktop, laptop, or tablet.
  3. Find a quiet room with little echo. A small carpeted room is ideal for absorbing sound.  
  4. If you have a professional mic, use this as your audio input on Zoom.
  5. Avoid squeaky chairs or fidgeting with anything that might dilute your audio.
  6. If you’re nervous, take a deep breath and restate your thought. You’ve got this. You are an expert on you and in your area.
